Troubleshooting

For each situation: the symptom, the likely reason, and the safe action. Never modify the database directly, and never ask VRsion Pro support to do so as a routine fix — every situation below has a safe path through the product itself.

I cannot qualify a prospect

Likely reason: You're signed in as a member (read-only), or the AI provider integration is temporarily unavailable. Safe action: Check your role (see Roles & Permissions). If you're an owner/admin and it still fails, check Settings → Pilot readiness → Integrations for the AI provider's status, then try again shortly.

Qualification looks wrong

Likely reason: The AI's written explanation is decision support, not guaranteed truth — or your Business Profile/Offers/ICPs don't yet reflect reality closely enough. Safe action: Review and, if needed, update your Business Profile, Offer, or ICP, then click Re-qualify. See AI Qualification.

Draft is in the wrong language

Likely reason: No Sales language is configured for this workspace, or the resolved language (prospect override or workspace default) is wrong. See Sales Languages. Safe action: Set or correct the workspace Sales language (Business page) or this prospect's Language override, then generate a new draft. Do not hand-edit the existing draft's language.

Draft contains incorrect information

Likely reason: AI output is not guaranteed truth — see Outreach Drafts. Safe action: Reject the draft. If the error traces back to your Business Profile, Offer, or ICP data, correct that first, then generate a fresh draft. Never approve a draft you know contains an error "to save time."

I cannot approve

Likely reason: You're a member (read-only), or the item is no longer pending (someone else already reviewed it, or it expired). Safe action: Check your role. Refresh the Approvals page — it always shows the true current state.

I cannot send

Likely reason: Most commonly, your workspace does not currently have sending enabled — this is expected, not an error. See Approvals & Sending. Safe action: Check Settings → Pilot readiness for the execution status. If it says sending must be activated by VRsion Pro, contact VRsion Pro support. If sending is enabled but the Queue approved action button isn't producing a result, check your daily email quota on the same page.

Approval expired

Likely reason: Approvals have a limited validity window; an approved-but-unqueued or pending item can expire if left too long. Safe action: Go back to the prospect and generate a fresh draft. This is a normal, safe outcome — not an error state that needs fixing.

Execution failed

Likely reason: The send attempt did not go through (e.g. a provider-side issue). Safe action: Check Activity & Audit for the specific execution's detail. Do not immediately re-queue the same item repeatedly — if it keeps failing, contact VRsion Pro support with the execution's details from the Activity page.

Execution is uncertain

Likely reason: The outcome of a send attempt could not be confirmed either way. Safe action: Do not resend blindly — a duplicate send to the same prospect could result from retrying an "uncertain" outcome that actually did succeed. Check Activity & Audit for the latest state, and contact VRsion Pro support if it doesn't resolve.

Daily email limit reached

Likely reason: Your workspace's configured daily quota has been used. Safe action: Wait for the quota to reset (shown on Overview and Settings → Pilot readiness). Approving and queueing still work; the send itself will simply wait.

AI budget reached

Likely reason: Your workspace's configured daily AI spending limit has been used. Safe action: Wait for the budget to reset the next day, shown on Overview and Settings → Pilot readiness. If you need a higher limit, contact VRsion Pro support.

Prospect needs requalification

Likely reason: The qualification is marked Stale — time has passed, or your Business Profile/Offers/ICPs changed since it was last run. Safe action: Click Re-qualify. This creates a new qualification snapshot; your history is preserved.

I cannot access another workspace

Likely reason: You are not a member of that workspace. Workspace membership is strictly per-company by design — this is not a bug. Safe action: If you believe you should have access, contact VRsion Pro support to be invited to that workspace.
